 In some instances it may be required to run the Cancel Operation against Pending shortcuts in a mailbox.  This article explains how to perform this action. 


Solution



WARNING: Canceling an 'archive pending' item may generate duplicates in the following scenario in versions prior to 9.0.3:
1. If the vault store is set to "After Backup".
2. If the item has been archived, indexed and is now awaiting backup.

NOTE: It is not recommended to perform this function against a Journal Mailbox prior to version 8.0

Solution 1. From Outlook on the client machine:

Highlight all "archive pending" items and select Tools | Enterprise Vault | Cancel Operation (Figure 1)

Solution 2. Within the Mailbox Policy on the EV server for versions 6 and above
  
To cancel pending items using this method:
 
1. Open the VAC and browse to the Site,Policies, Exchange, Mailbox section.
 
2. Right click on the Mailbox Policy and select the Advanced Tab.
 
3. Ensure you are viewing the Archiving General settings and change the Pending Shortcut Timeout value to 0.
 
4. Select 'Ok' to save the policy changes and then run a Synchronization job on the appropriate Mailbox Archiving task(s) to which the policy applied.
 
5. Open the Vault Administration Console (VAC).
 
6. Right click to select Run Now on the appropriate Archiving Service/Task.
 
7. Select Report mode and the mailbox or mailboxes against which you wish to run the PendingShortcutTimeout functionality.


Solution 3. Within the Registry on the EV server 
 
A registry entry improves the reliability and ease of canceling "archive pending" items in mailboxes. Cancel Pending functionality is now part of the Archiving, Journaling, and Public Folder services. The registry value triggers the services to cancel archive pending items. The archived date of any archive pending item is checked against a number of days specified by the registry value. If the date is older, then the "archive pending" item is canceled.
 
The registry value is PendingShortcutTimeout  (Figure 2).
 
This is a DWORD value created under: 
 
 Warning: Incorrect use of the Windows registry editor may prevent the operating system from functioning properly. Great care should be taken when making changes to a Windows registry. Registry modifications should only be carried-out by persons experienced in the use of the registry editor application. It is recommended that a complete backup of the registry and workstation be made prior to making any registry changes.
For 32 bit operating system
HKEY_LOCAL_MACHINE\SOFTWARE\KVS\Enterprise Vault\Agents\ 
 
For 64 bit operating system
HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\KVS\Enterprise Vault\Agents\
 
 
To cancel pending items using this method:
 
1. Set the PendingShortcutTimeout registry value as above.
 
2. Restart the EV Services.
 
3. Open the Vault Administration Console (VAC).
 
4. Right click to select Run Now on the appropriate Archiving Service.
 
5. Select Report mode and the mailbox or mailboxes against which you wish to run the PendingShortcutTimeout functionality.
 
Disable the Cancel pending function by deleting the registry value or by setting it to 0xFFFFFFFF. Setting the registry value to 0x00000000 resets any archive pending items found, but only in Report mode. Archiving and Journaling services suffer some performance degradation if this functionality is enabled.
