When creating a legacy (non-GRT) job to back up Microsoft Exchange Public Folders, some of the folders are missing from the selection list even though they show up in Microsoft Exchange System Manager

Cause

When creating a backup job to make selections of the Microsoft Exchange Public Folders, some of the folders will be visible while others will not. This has to do with a permissions issue.

Backup Exec acts like a Microsoft Outlook client when accessing the Public Folders to back them up. For Backup Exec to be able to see the folders to back up, the Backup Exec Service Account (BESA) must have the following permissions to be able to see the folders to back them up:
  • The BESA must be delegated control of the Microsoft Exchange Organization
  • The role of the BESA in Microsoft Exchange must be Exchange Full Administrator
  • The folders to be backed up must have either of the following Client Permissions
  • The default account must be set to a minimum of Reviewer role.
  • The BESA account must be set to a minimum of Reviewer role.
  • It may be necessary to grant the BESA the Owner role in some cases.

Solution

1.  To access the Client Permissions, right-click each of the folders that are missing and select Properties (Figure 1)

2.  Then click on the Permissions tab at the top (Figure 2).

3.  After clicking on Permissions, a button labeled Client Permissions.  Click on Client Permissions Make sure either the Default account or the username of the Backup Exec account is listed with the role of Reviewer (Figure 3) The above will need to be done on each folder below Public folders for them to become visible in job selections.

The steps above should allow the missing Public Folders in the Backup Exec job selections to be visible.
