Enterprise Vault Excessive file growth file server - Placeholder recall right-click properties

Hello,

 

I have seen multiple discussions about this same issue but have not seen a solution yet.

We have Enterprise Vault 8.0 SP4 running in our environment, we have been experiencing excessive file growth on our Fileserver, which contains the department data. We have seen 50GB  of storage dissapear over night. We have been trying to pinpoint the cause of the file growth and just now I have noticed, after a treesize scan, that several folders where user X has for example 300MB size on disk but 0MB allocated, he suddenly has also 300MB allocated. Which means the file has been retrieved from the vault. I tested with some files and also noticed when I rightclick a file (properties) on a windows 2008 server or windows 7 workstation (the file is marked with a greyed out X instead of the black clock icon) and is immediately retrieved from the vault.

I can imagine when lots of users access files or a file search is done and properties are requested, this could explain the excessive file growth.

 

Have you seen this behaviour before and do you have a solution for it?

So for the treesize scan you

So for the treesize scan you can add its exe to the excludedexes registry key.  That will prevent it from recalling any items.

EV does restrict the amount of items that can be recalled in a small period of time.  See RecallLimitMaxRecalls and RecallLimitTimeInterval

Just doing a search should recall the items unless you have Mac's doing the search.

Treesize does not cause files to be retrieved from the vault, I only used it to analyse the data growth and it pointed me in the direction of the Enterprise Vault causing it. I compared 2 treesize scans and noticed the difference in allocated space as I explained in my first post.

I also noticed using unc file path's to the file server's shared data from Windows 2008 and Windows 7 operating systems is part of the problem, at least when using right-click and selecting properties (excel files), the file will be retrieved from the vault. Which does not occur on Windows 2003 servers (same excel files). I think this is the case for all file types (archived).

I will look into the options you mentioned about exe exclude option and setting limits on the recalls.

But what I would like to know is what's the reason files are being recalled on W2008 servers and not on W2003 servers, i checked the compatibilty matrix and because we are on Ent. Vault 8.0 SP4 the OS shouldn't be the problem here. Getting back to the excessive file growth, is it possible users or an automated process, which access multiple files, cause these files to be retrieved. Also this behaviour occurs during the day and night and starts and stops randomly. Last night again we lost 10GB space.

You mentioned mac computers if somebody accesses the files (ex. search option) will this cause the files to be recalled?

We have a 450GB drive (750GB in size, 400GB allocated), which is not a ideal situation, if this recall of files continues it will keep being flooded, we are also thinking to extract all files and use no compression at all, off course we need to get that ammount of storage first.

I hope you can give us a solution how to stop this behaviour.

thnx for your reply, we will investigate the backup as a possible cause of the excessive file recalls.

Question: "You haven't had the problem with the windows 7 workstations / windows 2008 server systems recalling files by just a rightclick, before?"

Any antivirus running, with an 'on access scan' sort of functionality?

 

We've a similar environment (win2008, and ev8.0.4), and rightclicking on archived files on a 2008 box doesnt cause a recall
