EV 8.0.4 - Archiving Leavers Mailboxes

This issue has been solved. See solution.

Hi,

Could you please advice about best practices for archiving Leavers mailbox using EV 8.0.4 ?

We have policy to archive items older than '0' days. Do not create shortcuts. Still EV is not clearning up the leavers mailbox.

How can we troubleshoot this? What are the usual things to look for? We have done a synch and re-run provisioning, user seems to be in correct provisioning group with corrct policy.

Does the AD account for leaver needs to kept enabled? What if AD account is deleted?

Add the registry key mentioned in this Technote:

http://www.symantec.com/business/support/index?page=content&id=TECH76587

That will synchronize mailboxes associated with disabled AD accounts.

Archiving a mailbox bare is a bit more involved than just setting the policy to 0 days.

Rob Wilcox has written a blog entry which is worth a read : https://www-secure.symantec.com/connect/articles/p...

When creating a policy you have to consider things like:

1) Message classes which are not archived by default.

  • You need to add in message classes at the directory level to catch everything.
  • You will need to add in those message classes to the policy
  • You will need to provision your leavers to get this policy

2) You will need to change the policy to archive unread messages and draft messages, unexpired calendar events, pending reminders,

3) You may want to change the policy to archive deleted items

4) If you were running the DCOM (full) client you may want to strip off any custom filters the user had put in place (using an EVPM script)

5) You will probably want to delete existing shortcuts (since the mailbox is being deleted)

6) You may need to change the policy on managed folders so they are also archived

One thing to remember is that there isn't really a 'best practice' for archiving leavers.  It's down to the needs of the business.  You can 'steer' them in the right direction though :)
