EV doesn't archive some mailboxes (or just a few)

This issue has been solved. See solution.

Hi all,

I have problems trying to archive some email accounts (including mine).

My mailbox real size is about 1,2GB but EV archives anything. Even if I use a policy based on age with the rule "items older than 0 days". In report mode it says:

   - 6 archivable items (not true)

   - 0 items ready to archive

   - 0 messages would be archive

   - 0 as Size of messages that would archive

If I use a rule based only on quota (50%) I get something like this in report mode:

   - 6 archivable items (not true)

   - 0 items ready to archive

   - 0 items that would be archive

   - 252.407 MB as Size of messages that would archive (my quota = 2GB).

If I run it in normal mode nothing is archived.

The same behaviour (or similiar) is happening with some other mailboxes. Any idea of what is wrong or what could be happening?

If you review your mailbox policy what are your 'Override Settings' configured to.

Also make sure that your message classes that are to be archived are set correctly to include IPM.Note* at least.

Hi,

My Deleted items folder size is about 7MB.

I have nothing configured in the "Override Settings" section. All in blank.

I have the following message classes selected for archiving: IPM.Document*, IPM.Note* and IPM.Post*.

And we have EV 9.0.1 installed and Exchange 2007.

Hope the mailbox have read emails and they do satisfies the age or quota criteria. If the emails are not read then are not in criteria then EV will not process those email unless following setting is set. For archiving un-read emails you also need to turn on setting "Archive Un-read items" in Mailbox policy->Archiving Actions tab.

Most os the emails in the mailbox are read emails. And the "Archive Un-read items" option is selected inthe policy.

The mailbox was restored from archive completely a couple of times in the past. i know that this action changes the LAST MODIFICATION TIME date, but, even in that case, a policy with "archive older than 0 days" or "archive until mailbox available storage reaches 99%" should archives a lot. But it doesn't. In fact, running in report modes it says: "No of archivable items: 13", when I have thousands of emails in the account and nothing archive.

If you have restored mailbox then Archiving Task will not archive those emails which are stamped by "ResotredDate" or "ArchivedDate". If those MAPI properties are present on items then archiving task will ignore such items. I think this might be the scenario in your case. Please try this and run archiving task in report mode and see the difference

create  the REG_DWORD IgnoreEVDates under

For 32 bit operating system

HKEY_LOCAL_MACHINE\SOFTWARE\KVS\Enterprise Vault\Agents.

For 64 bit operating system

HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\KVS\Enterprise Vault\Agents

 

Set the value of IgnoreEVDates to 3 (decimal), then restart the archiving task

You will find more information about this key in "Registry_Key.pdf" or "Registry_Key.chm" in EV Installation Directory.

Thanks Amit, I'll try that.

I thought that after an archive is restored, EV looks for LAST MODIFICATION TIME for archiving that mailbox again.

I have tried with IgnoreEVDates=3 but still the same problem with the same mailboxes: nothing is archived.

To be honest I wouldn't have expected that to work since you have a 0 day archiving policy anyway so in effect the IgnoreEVDates wouldn't have done anything.

Any chance you could install OutlookSpy and take a look at the properties of those items.
It almost sounds like the items have been archived with Create Shortcut and Delete originals being unchecked. If EV reads the properties of the mail item and sees that the item has been archived under those conditions, then they will never be turned in to shortcuts.

There is also the chance that there could be a filter on the folder, either set by the user or set by EVPM that overrides the policy and that the archiving routines are just following what the filter says.

Thanks, I'll try to take a look with OutlookSpy.

There's another issue regarding these mailboxes: I cannot manually archive messages from Outlook. If I select a message and press the Archive icon, this icon changes momentary to a clock and then returns to the original icon, without archiving it. If I do the same from OWA, it works! The message is correctly archive and the icon changes. If I return to Outlook I can see that messages archived (and with the proper icon).

I have tried with Outlook 2003 (with add-in for 9.0.1) and from Outlook 2010 (with the new add-in for 10.0.1).

Hi,

I don't know why this mailboxes are having problems trying to archived them. Some of them were restore from archive 1 or even mores times, but some other not. Just they stop archiving and one day and the size has been growing up since them. By the way, have you noticed that you get duplicated messages  on the outlook when you restore from archive more that once?

Anyway, I think I have found how to fix the problem. The answer is here:

I have tried with my own mailbox and it worked. Now, when I ran in report mode, I get real values.

I have some doubts about if I should restore the other mailboxes from their archives and then delete the archive (before running EVPM as the article says) or not, because I don't want users to have duplicate messages but I don't want them to loose archive messages either.

Anyone with experience using EVPM?
