No "Run Now" menu option for Archiving Task

Created: 04 Jan 2013 | 25 comments

We have an Enterprise Vault 2007 server for Exchange (on Windows 2003 Server)  -- v 7.5 and are beginning to migrate some users out of our system to another Exchange domain.   We have been doing it successfully at another site.   On this server -- we don't have the 'Run Now' option when we right-click on the Mailbox Archiving Task.   The task's status is 'Error' but archiving is working successfully.    Any ideas on how to get the 'Run Now' to appear or what could be wrong?

just to clarify, you dont have run now or it's there but greyd out?

can you stop the task and start it again to see if that helps? if it goes back to "error" state, let us know what the event logs say.

The 'Run Now' isn't there at all. The only menu items are Delete, Properties, and Help. I can't stop the task either. I did just restart the Enterprise Vault Task Controller Service and that stopped and restarted the tasks but there is no change in the status (Error) and no menu items.

We have 3 tasks there -- a Public Folder task, the Mailbox Archiving task, and the Provisioning task. All 3 have the 'error' status and the same menu items. No Run Now.

There are no errors in the event log for Enterprise Vault when I did that -- just entries in the System log showing the stopping and starting of the service.

restart the enterprise vault admin service (which will restart the other services) and then check again for any errors in the event logs and let us know. if you're still not seeing anything then you can use dtrace to get a deeper look.

Thanks.  I did reboot the server over the weekend and also tried the restarting of the Admin service this morning and there are no new errors reports in the event logs but the tasks are still in an 'error' status.  I'll start reading up on using 'Dtrace' but if you can give me any direction -- I'd appreciate it.   Thanks again.

You won't get a run now until the error state is gone.  You need to look in the event log and see if that shows any indication as to why the error state is there.  Report back with what is in the EV Event log ...  and the Application Event log.

OK -- thanks for the info. There are some errors in the Enterprise Vault log since the last reboot:

ID 4167 -- Archive Task: (only one of these since the last reboot few of these)
"An exception has been raised.
Internal reference
.\SMTPBoundary.cpp[CSMTPBoundary::DefineBoundary)[lines {35,48}] built Jun 20 22:41:19 2007.
An exception is raised when a process encounters an unexpected fault.

ID 41133 -- Provisioning Task: (One of these every day at the same time (11:00pm)
The Exchange mailbox provisioning task found enabled mailboxes that are not part of a provisioning group....

ID 2989 -- Archive Task (there are alot of these for dozens of users)
Error checking mailbox /o=Site1 Organization/ou=First Administrative Group/cn=Recipients/cn=smallarn

Does any of that help? Thanks!

none of those would cause the task error state you're seeing,

Sometimes more events are logged after 10-15 minutes ...  so keep a watch out.

Are you logged in with the evadmin account on the EV server?
Typically I've seen that when you're logged on to the VAC and it doesn't have permission to poll the task controller

Which could be permissions or it could be that it can't resolve the site alias and you're getting and RPC Server Unavailable in the background

sepparker's picture

Yes -- I am logged in with the evadmin account.   Thanks.

JesusWept3's picture

OK does the site alias resolve correctly?
Also if you go to the Vault Admin Console -> Your EV Server -> Services
What does the status show for the Task Controller Service?

sepparker's picture

Yes -- the site alias resolves correctly.   The Task Controller Servers says it is 'running'.

Any assistance on this issue?   We do not have a 'Run Now' option on our Archiving Task.  The task's status is "Error" -- but it is definitely running and mail is being archived successfully.   We need to be able to use the 'Run Now' option to run individual archiving tasks as we are migrating users out of our Enterprise Vault server to another network.  How can I resolve the 'Error" status?

Thanks in advance!

I vaguely recall something like this, related to a DNS update, and USL.

If you stop the services, open a command prompt, do an 'ipconfig /flushdns' wait for that, then restart the admin and direcory service only. When they run, check there are no events in the eventlog. When ok, start the EV Console (as EV admin). Rightclick the site, and select Update Service Location. Run that.

When done, start the other services one by one, check the eventlog. after each one is started. Also check Application and Systemlog, as that might have errors related, but not showing in the EV eventlog.

Thanks.  I ran though these steps -- but it didn't resolve the issue.  There are no errors in the event logs -- when I do this either but the tasks in the admin console still show 'Error' status.

How are you validating that archiving is still happening?  What's in the event log relating to the archiving tasks?

sepparker's picture

Archiving is still happening because the users' mail that is older than 6 months (our setting) is getting archived daily.  When the archiving task runs there are 5 errors but they are only listing 5 messages that may be corrupt with event ID 3250.  Nothing else.

The only other event id -- is one about DCOM when I stop/start the services.  It is an event ID 10016 saying "The application specific permissions settings do not grant Remote Launch permission for the COM Server application with CLSID....."    That same error is on our other server and it doesn't have the problem we are having with this one...so I don't think that is an issue.

Thannk.  Any ideas?

So the task is in an error state?  You should be able to highlight the task and choose stop. Otherwise, restart the Tas Controller service and see if the task generat an error on start up.

sepparker's picture

The only options for the task when I right-click it are Delete, Properties and Help.  I have a public folder task also -- that is also in an error state (all of the tasks show error under status).  I can set them to disabled and restart the task service and the column for the Startup type changes from 'Automatic' to 'Disabled' -- but still say "Error" under status.   No errors in event viewer though when I restart the Task Controller service

Here is a rather RANDOM idea.  Can you try installing the Vault Admin Console on to a workstation, and seeing what that shows?

sepparker's picture

Thanks...I will try that -- but it will take a few day as the software is stored elsewhere and I'll have retrieve it.

sepparker's picture

Brilliant -- this worked.  I loaded the admin console on a workstation and the tasks show as 'Running" and I can select the "Run Now" menu option.   This at least gives us a workaround for now.

Thank you!

Glad to help.. and now the tricky bit is that you will probably need to work with Support to figure out why it won't launch 'properly' on the EV server.
